What Exactly is a SaaS Company

A Software as a Service (SaaS) company is essentially a business that delivers software applications over the internet on a subscription basis. Unlike traditional software companies that require users to purchase and install software on their computers, SaaS companies host and maintain the software centrally, allowing users to access it through a web browser.

These companies offer a wide range of services, from project management tools to customer relationship management (CRM) systems, and they cater to various industries and business sizes. In India, SaaS companies have been on the rise, with many emerging as prominent players in the global market.

How we selected these SaaS Companies

This is a curated selection across distinct business-software categories, intended to help readers understand what each company offers. It is not an exhaustive directory or a scored assessment of India’s SaaS industry.

Product descriptions are based on the official sources linked in each profile. The evaluation questions are ProCreator’s suggestions, not findings from hands-on testing or claims about measured usability. Confirm current capabilities and availability with the vendor before making a decision.

ProCreator’s Cerspective: what makes these SaaS Companies worth studying

These companies solve different business problems, but their products raise a shared design question: how easily can users complete the work they came to do? A broad feature set is only part of the picture. For SaaS founders and product teams, the useful comparison is how each product organises complex workflows, supports different user roles and helps people reach a meaningful outcome. Alongside the company facts, we highlight product-design questions that readers can apply to their own SaaS products.

10 SaaS Companies in India: Products and Intended Users

1. Zoho: business software suite

Zoho offers business applications across customer relationship management, finance, HR and other functions. It is relevant when a business wants to connect several operational processes within one software ecosystem.

Who should consider it: Sales, finance and operations teams.

Start with the applications your team actually needs. A broad suite can be useful, but the evaluation should focus on the records, permissions and handoffs that matter to your workflow.

A useful demo question: Follow a customer record from a sales action into the next operational handoff. Can each person understand its status without repeatedly switching applications?

Headquarters listed on the company profile: Chennai, Tamil Nadu, India

India presence: Headquartered in Chennai, with offices elsewhere in India.

Key products/capabilities: CRM, finance, HR and business-productivity applications.

2. Freshworks: customer and employee service

Freshworks provides customer service and employee service software. Freshdesk addresses customer support, while Freshservice addresses IT service management. These products serve different teams and should be shortlisted against different requirements.

Who should consider it: Support and IT service teams.

How to evaluate it: Clarify whether you are improving external customer support or internal IT service. Then evaluate the relevant product with a request your team receives regularly.

A useful demo question: Ask an agent to triage a request, find its context and route it to an owner. Are urgency, ownership and the next action easy to distinguish?

Founded: 2010

Headquarters listed on the company profile: San Mateo, California, USA

India presence: Started as Freshdesk in Chennai; maintains offices in India.

Key products/capabilities: Freshdesk for customer support; Freshservice for IT service management.

Company facts sources: Freshworks company profileofficial company information.

3. Chargebee: subscription billing

Chargebee provides billing and monetization software for subscription businesses, including SaaS companies. It is relevant to teams managing recurring-revenue operations and changes to subscription pricing.

Who should consider it: Finance and subscription-business teams.

How to evaluate it: Bring your own pricing and subscription-change scenarios to the evaluation. Confirm how the product fits your billing workflow and existing systems.

ProCreator’s product-design perspective: Subscription billing involves more than a successful payment. Teams also need to handle plan changes, failed payments and cancellations. For a SaaS founder, the design lesson is to make those changing states understandable: what happened, what needs attention and what the user can do next. These are useful questions to explore when reviewing a billing workflow.

Founded: 2011

Who should consider it: HR and people-operations teams.

How to evaluate it: Evaluate the employee experience alongside the administrative workflow. Confirm the availability of payroll capabilities for the countries relevant to your workforce.

A useful demo question: Test a leave request from the employee and manager perspectives. Are balances, approval status and outstanding actions understandable on both sides?

Founded: 2015

Headquarters listed on the company profile: Seattle, Washington, USA

India presence: Maintains offices in Hyderabad and other Indian cities.

Key products/capabilities: Core HR, payroll, hiring, time and attendance, and performance management.

5. Darwinbox: human capital management

Darwinbox offers cloud-based human capital management software covering employee-lifecycle processes, including recruitment, onboarding, core HR and talent management.

Who should consider it: Enterprise HR teams.

How to evaluate it: Consider it when your organization needs coordinated HR processes across teams and organizational structures. Include configuration and implementation requirements in the evaluation.

ProCreator’s product-design perspective: An HR platform serves employees, managers and HR administrators, often within the same process. Each role needs a different view of the work. Our design perspective is to start with those responsibilities: make the next action clear, show who owns an approval and explain what happens after submission. A consistent interface still needs to respect differences in access and responsibility.

Founded: 2015

Headquarters listed on the company profile: San Mateo, California, USA

India presence: Maintains a Hyderabad office; the company announced its Hyderabad global headquarters in 2022.

Key products/capabilities: Core HR, recruitment, onboarding, payroll and talent management.

Who should consider it: Growth and retention teams.

How to evaluate it: Bring a real retention scenario, including the audience you intend to reach and the action you want customers to take. Compare alternatives using the same scenario.

A useful demo question: Build a sample audience and review the planned communication. Can another team member understand the audience rules, exclusions and intended outcome?

Founded: 2013

Headquarters listed on the company profile: San Francisco, California, USA

India presence: Maintains an office in Mumbai, Maharashtra.

Key products/capabilities: Customer data and analytics, segmentation, personalization and campaign orchestration.

Company facts sources: CleverTap company profileofficial company information.

7. Facilio: facilities and maintenance management

Facilio provides facilities and maintenance management software, including a computerized maintenance management system, or CMMS. It addresses operational needs that differ from general-purpose sales or HR software.

Who should consider it: Facilities and property-operations teams.

How to evaluate it: Include both operational managers and the people completing maintenance work in the evaluation. A useful administrative view does not replace a clear field workflow.

ProCreator’s product-design perspective: Facilities work moves between a reported issue, an assigned task and a completed job. Our design perspective is to make that handover visible. A useful workflow should help the next person understand the issue, its priority and the action required without reconstructing the history from separate messages. This is a design principle to examine, rather than a claim that we have tested Facilio.

Founded: 2017

Headquarters listed on the company profile: New York, New York, USA

India presence: Maintains offices in Chennai and Bengaluru.

Key products/capabilities: Facilities operations and computerized maintenance management software (CMMS).

8. WebEngage: customer engagement and retention

WebEngage provides a customer-engagement and retention platform. It is relevant to marketing teams coordinating customer communication and lifecycle activities.

Who should consider it: Marketing and lifecycle teams.

How to evaluate it: Evaluate it against a specific customer journey. Define when a customer should enter the journey, what they should receive and when communication should stop.

A useful demo question: Review the journey before activation. Are the sequence, entry conditions and exclusions clear enough for a colleague to spot an unintended message?

Founded: 2011

Headquarters listed on the company profile: Mumbai, Maharashtra, India

India presence: Headquartered in Mumbai, with additional Indian offices.

Key products/capabilities: Customer data management, segmentation, journey orchestration and customer engagement.

Who should consider it: Application owners and enablement teams.

How to evaluate it: Identify the tasks users struggle to complete before deciding what guidance to introduce. Evaluate the support in the context of those tasks.

A useful demo question: Does the guidance help a user finish the task? Can an experienced user dismiss it when assistance is no longer needed?

Founded: 2013

Headquarters listed on the company profile: San Jose, California, USA

India presence: Maintains an office in Bengaluru, Karnataka.

Key products/capabilities: Digital Adoption Platform, Mirror simulation training and Product Analytics.

Company facts sources: Whatfix company profileofficial company information.

10. Druva: cloud data protection

Druva provides cloud-based data protection through a SaaS platform. It is relevant to organizations evaluating business-data protection and recovery workflows.

Who should consider it: IT infrastructure and security teams.

How to evaluate it: Confirm support for the workloads your organization uses. Include the people responsible for recovery in the evaluation, rather than reviewing the feature list alone.

A useful demo question: Review a recovery scenario. Do status information, available actions and confirmation messages help the responsible team make a clear decision?

Founded: 2008

Headquarters listed on the company profile: Santa Clara, California, USA

India presence: Maintains an office in Pune, Maharashtra.

Key products/capabilities: Cloud-based data protection, backup and recovery.

Company facts sources: Druva company profileofficial company information.

How to choose a SaaS product for your team

Compare products that solve the same problem. A billing platform and an HR platform are not interchangeable options simply because both are SaaS products.

  1. Define one real task. Use realistic inputs and an outcome your team needs to achieve.
  2. Include the people involved. Review the everyday user’s experience as well as administration and approvals.
  3. Check implementation needs. Discuss data migration, integrations, permissions and support.
  4. Test an exception. Include a failed action, a reversal or an approval delay alongside the ideal path.
  5. Confirm the terms. Ask the vendor about pricing, usage limits and the capabilities available in the proposed plan.

Where are these SaaS companies located in India?

The companies in this list have different connections to India: some are headquartered here, while others have Indian origins or offices alongside overseas headquarters. These locations should not be treated as interchangeable.

  • Chennai: Zoho is headquartered here; Freshworks started here as Freshdesk. Chargebee and Facilio also have Chennai offices.
  • Bengaluru (Bangalore): Whatfix and Facilio have offices here.
  • Hyderabad: Keka and Darwinbox have offices here.
  • Mumbai: WebEngage is headquartered here, and CleverTap has an office here.
  • Pune: Druva has an office here.

See the linked company sources in each profile for the distinction between headquarters, origins and office locations.

ProCreator insights: three design lessons for SaaS founders

Organise around the work, not the feature inventory. A user arriving to resolve a support ticket or approve leave needs a clear next step. Grouping every capability into the navigation does not automatically explain how to complete a task. Start with the user’s recurring jobs and make the relevant actions easy to find.

Design the exception as carefully as the routine task. A failed payment, rejected request or interrupted backup needs an explanation and a recovery path. When reviewing your own product, ask whether the user can tell what happened, what remains safe and what to do next.

Keep shared patterns consistent as the product grows. Similar actions should use familiar labels and feedback across modules. At the same time, different user roles need appropriate permissions and information. For more practical guidance, explore our SaaS UX design practices.

What our HCL work shows about consistency across software websites

In our work for HCL, the challenge was to give multiple software product websites a consistent brand experience while allowing each product to communicate its own offering. We developed a shared design system, reusable page sections and product-specific illustrations. For SaaS teams expanding their product portfolio, the relevant lesson is to define what should stay consistent and where each product needs its own explanation. Explore ProCreator’s HCL design-system case study.
